Description
Kinsley’s Utilities Division is seeking a detailed-oriented Office Assistant for our growing team. Based out of our Ephrata, PA office, the Office Assistant is responsible for providing administrative support to the Utilities Division. The Office Assistant will report directly to the Utilities General Superintendent.
Strong computer skills, good communication skills, and a willingness to learn are essential.
TYPICAL RESPONSIBILITIES / ESSENTIAL FUNCTIONS
- Enter crew quantitates in computer software
- Enter and track crew costs
- Enter and handle PA 1 calls as necessary
- Schedule service work by answering incoming calls and entering information into Outlook calendar
- Distribute work orders appropriately
- Order office supplies and keep inventory of stock
- Organize and maintain a filing system
- Perform other administrative duties such as filing, photocopying, faxing, and scanning as required
- Assist in other duties as necessary to provide general support the Utilities General Superintendent
EXPERIENCE & EDUCATION
- High school diploma required
- Knowledge of underground utility is a plus
- Strong organization, customer service, written and oral communication skills are required
- Proficiency in Microsoft applications (Word, Excel, and Outlook) and ability to learn new software systems required
- Ability to work with all personnel within the organization and facilitate professional communication
- Ability to work both independently and as a team player
- Must be flexible, proactive and able to work in fast-paced and changing environment
